Job Vacancy – Head of Registry
Our client, a leading insurance company, is seeking to recruit a highly talented and dynamic professional to fill the following position based in Nairobi:
HEAD OF REGISTRY
Reporting to the Head of Legal, the incumbent will be providing strategic and operational leadership for the company’s records management function. The role will play a vital part in ensuring the integrity, accessibility, and security of all organizational records, while fostering compliance, operational excellence, and continuous improvement within the registry function.
Key Responsibilities:
- Developing and maintaining efficient manual and electronic filing systems aligned with organizational policies and records management standards.
- Leading and supervising the Registry Department staff to ensure timely, accurate, and compliant execution of all registry-related functions.
- Preparing and presenting periodic reports on registry performance, compliance status, and improvement initiatives to the senior management.
- Managing and appraising the performance of the Registry Assistants, including setting clear objectives and supporting ongoing development.
- Identifying and implementing technological solutions to enhance document management, security, and accessibility.
- Managing and safeguarding company records, ensuring secure storage, timely retrieval, and audit readiness.
- Implementing registry policies and procedures in alignment with organizational goals and regulatory requirements.
- Monitoring and updating file data, including barcoding, numbering, and categorization, to improve traceability and organization.
- Coordinating with internal departments to resolve registry-related issues and facilitate seamless information flow.
- Ensuring full compliance with data protection laws, company policies, and industry regulations related to document confidentiality and storage.
Qualifications & Skills Required
- Bachelor’s degree in Records Management, Information Science, Library Science, Business Administration, or a related field from a recognized university.
- Minimum of 5-7 years of experience in a records/registry management role, with at least 2 years in a leadership position.
- Strong expertise in document management systems, information governance, and data security best practices.
- Proper understanding of data privacy laws and corporate governance in relation to records.
- Familiarity with document management systems such as SharePoint and Data Protection regulations.
- Significant experience in managing large volumes of sensitive data and documents.
